Title: Motion to approve expenditure for print and mailing Top Donor and Volunteer recognitions
Motion: I move to approve expenditure not to exceed $225.00 to pay for printings and mailings of Top Donor and Volunteer recognitions that was previously budgeted under the former Fundraising Committee budget.
Statement of Need:
There were two tasks that were not completed at the 2022 LPF convention under the Fundraising Committee and request of the Vice-Chair: Top Donor perk presentation and Volunteer recognition, respectively. To complete these tasks would require the expense of printing cover letters to accompany the recognitions and mailing in a large envelope or a medium padded envelope to send shirt and cap as promised.
The expenses breakdown is as follows (estimated):
Budget for mailing of Top Donor and Volunteer Certificates: $221.31 total
Office Depot Purchase of 100 Manila Envelopes (with 20% off coupon): $26.01
First Class Postage for Large Envelope $1.76: $82.72 (47 donors and volunteers)* it could be less postage. This includes mailing both J Mark and Austin.
Flat Rate Padded Envelope $9.65: $67.55 (7 top donors getting polo and cap)* it could be less postage. *I have mailed a letter, a shirt and a cap in this envelope before.
All donors get a card and a certificate. All volunteers get a certificate. Cards and certificates were already printed under the fundraising budget. The list of recipients is attached.
To reduce cost any Broward and Dade county persons on this list to have these items presented in person.
57 letters printed with full color logo (rate of $0.79 per page): $45.03 (alternatively, letter to top donors and volunteers from the chair can be printed in B&W from office printer at no additional cost).
